How we use your information

We will use your information for the following purposes.

1. To process this application
2. To provide products or services to you
3. To periodically check information on the application such as trade references
4. To carry out credit reviews on your trading account
5. To process payments received from you or due to you
6. To recover debts you may owe us.
7. For the purposes of initiating or defending a court action
8. For the purposes of selling and/or transferring parts of our business to a third party. If so we may disclose your information under strict duties of confidentiality to a potential buyer, transferee, merger partner and their advisers so long as they agree to keep it confidential.
9. We need to use your information for the purposes of developing and improving our customer services. This may involve the use of a third party service provider. If so we may disclose your information under strict duties of confidentiality.

We only share your information when required to do so with a select number of entities such as:

1. Revenue authorities
2. An Garda Siochana or to a third party on foot of a legal instruction or court order
3. Third party mediation or arbitration companies or individuals
4. Insurance companies in the event of a claim or other action or event
5. Other legitimate third parties necessary for the running of our company such as but not limited to third party system provision and support services.

We use third party support companies for the provision of the following.

1. The ongoing running and development of our various computer packages.
2. Financial and credit control cash flow management.
We only use select companies who are compliant with data protection

Retention Periods

We need to keep your personal data long enough (minimum 6 years from date of last transaction) for the purposes of the following

1. To comply with Revenue and other state bodies
2. For insurance reasons.
3. For the ongoing operation of your account
4. For the recovery of debts
5. For the purposes of compliance with contracts
6. For the purposes of allowing you to order services
7. For the purposes of processing payments
8. For the purposes of retrospective quality control investigations

Your Rights

You have the right to know what information we are collecting on you and to amend it if inaccurate

You have the right to object to the use of your personal data for the purposes of direct marketing. If you feel for some reason we have information about you we should not be keeping, or is out of date or otherwise wrong, please let us know and we will take the appropriate action.

You have the right under certain circumstances to have your information deleted or restricted. For example if you previously gave us consent and now wish to withdraw it and there are no legitimate reasons for us to keep it.

You have the right to withdraw consent at any time to the use of your personal data. This withdrawal of consent is not retrospective and will apply from the date of processing of your application to withdraw consent. You should fully make yourself aware of the implications of withdrawing consent.

The information we collect about your debtors

In addition to the information provided to us in the original instruction we will also collect information on the following

1 Delivery details
2 Products and/or services sold by you to the debtor.
3. Details of payments made to you from your debtor
4. Outcomes of contacts with you and contacts direct to our offices
5. Information you provide relating to a third party, IE Partnerships, Financial advisers,
6. VAT number
7. Phone number(s) and other contact information

How we collect information about your debtors

In addition to the information provided in the instruction we may also collect information about your debtors in the following ways

1. Contacts made by us to the debtor or by the debtor to us. The term “contacts” refers to the outcome of telephone calls, letters by ordinary post or email, text messages sent or received or by email.
2. Contacts made by a person or firm representing the debtor. For example the accountant, book keeper, accounts employee or other employee or recognized representative.

2. To make contact with the debtor for the purposes of agreeing a repayment.

4. For the purposes of initiating or defending a court action
5. For the management of multiple cases with the same debtor

Who we share your debtors information with

We will only if required to do so share your debtors information with a select number of entities such as:

1. Revenue authorities only for the purposes of a revenue audit of payments made directly to us.
2. An Garda Siochana or to a third party on foot of a legal instruction or court order
3. Third party mediation or arbitration companies or professionals appointed by you.
4. Insurance companies in the event of a claim or other action or event
5. Other legitimate third parties necessary for the running of our company such as but not limited to third party system provision and support services.
